What full GRMS includes

Every room, aware and under control.

Occupancy, door and window sensing

Rooms know when they are occupied or empty, and pause conditioning when a balcony door is left open.*

Smart thermostats & energy controls

Fitted to PTACs, VTACs, fan coils and split systems, with min/max setpoints, recovery times and deep-setback rules you control.

PMS integration

We can perform this integration. Sold and unsold status, check-in and checkout drive the room, for pre-conditioning on arrival and deep setback when unsold.

BMS integration

We can perform this integration. Room status, demand and alarms shared with your building management system, so engineering sees the whole building in one place.

Lighting and door lock integration

Arrival scenes, master off, nightlights and door events built to brand requirements. Lighting · Door locks

DND/MUR, room status and dashboards

Housekeeping status in real time, alerts for offline devices and problem rooms, and a central view for operations and engineering.

EMS or full GRMS

Choose the level each room needs.

Every option can share one platform, so you can start with energy controls and grow into full GRMS.

FAQ

GRMS questions owners ask us

What is a guest room management system (GRMS)?
A GRMS connects the controls in each guestroom (thermostat, occupancy sensing, door and window contacts, keycard, lighting, DND/MUR and door lock signals) and links them to your property systems. The room knows whether it is sold, occupied or empty and sets itself accordingly, and staff see every room from one place.
What is the difference between EMS and GRMS?
An energy management system (EMS) controls guestroom HVAC through smart thermostats & energy controls and occupancy sensing. A full GRMS adds lighting, door lock, DND/MUR, PMS and BMS integration and a central dashboard, serving comfort, operations and brand requirements as well as energy.
Does the GRMS integrate with our PMS?
Yes, where your PMS supports an interface. Sold and unsold status lets unsold rooms hold a deep setback and sold rooms pre-condition before arrival. That is one of the biggest functional upgrades a GRMS brings.
Can the GRMS share data with our BMS?
Yes. We can pass room status, alarms and demand to your building management system so engineering sees guestroom and plant information together and can coordinate setpoints and schedules.
Can you integrate with our BMS or PMS?
Yes. We can perform BMS and PMS integrations. We confirm the interface your systems support during the free assessment, then design, connect and commission it. Both integrations enhance functionality and savings.
Is GRMS a brand requirement?
For some brands and property types, yes, especially in new builds, conversions and renovations. Requirements can include lighting behavior and specific room features. We review your brand’s current standard and design to it.
Can a GRMS be added to an existing hotel?
Yes. Most of our work is retrofit. We choose wired, wireless or hybrid devices per room type to limit wall work, and we install floor by floor around your occupancy.
Wired or wireless?
Wireless suits most retrofits because it avoids opening walls. Wired suits new construction and deep renovations. Many properties use a hybrid, and we specify room by room.
Does every room need the same level of control?
No. We often specify full GRMS in suites and premium rooms and energy controls in standard rooms, all on one platform.
What does the network need?
A GRMS needs a dependable path from the rooms to its controller and, for remote access, to the cloud. We survey your network during the assessment and specify what the system needs, coordinating with your IT team.
What happens after installation?
We commission every room, train your team and hand over. Our sister company, LiveXpert, then monitors the system, handles exceptions and keeps settings from drifting.
What savings can we expect?
Properties typically see 20–35% lower guestroom HVAC energy use, with a typical payback of 12–18 months. Results vary by property, climate, HVAC type, occupancy and utility rates. Your property may qualify for a utility rebate that shortens payback.

Room-by-room commissioning checklist

We complete this for every guest room before it goes back into inventory:

  • Room number and room type recorded; HVAC type and model confirmed
  • Wiring, voltage and mounting verified against the spec
  • Controls powered and communicating on the network
  • Heat, cool and fan modes each called and confirmed at the unit
  • Occupancy sensor detects entry and presence; setback engages when vacant
  • Door and window sensors (where installed) trigger the right response
  • Setpoint limits and setback temperatures set to the property standard
  • Recovery to guest setpoint confirmed after re-occupancy
  • Integrations (GRMS, lighting, door lock, BMS or PMS, where in scope) tested
  • Room shows correctly in the management dashboard
  • Faceplate clean, labels in place, room left guest-ready
  • Sign-off recorded and added to the close-out documentation for the rebate claim

Frequently asked questions

What is a GRMS?

A guest room management system connects the room’s thermostat, occupancy sensing and, where in scope, lighting and door locks, so the room responds to whether a guest is there and staff can see room status.

Do we need a GRMS or just smart thermostats?

It depends on your brand standard, HVAC and goals. Smart thermostats & energy controls cover HVAC savings; a GRMS adds broader room control and visibility. The survey tells us which fits.

Can a GRMS connect to our PMS or BMS?

We can perform BMS and PMS integrations, scoped during the survey.

Do you install GRMS equipment supplied by someone else?

Yes. We offer full turnkey supply, install and integration, plus stand-alone installation and integration, and we act as an integrator for partners.

Can a GRMS qualify for rebates?

Your property may qualify for one of 74 verified utility rebate programs and more. We check your address and handle the filing.

Check rebates in your state: see our utility rebate finder or the Florida & Southeast rebates page.
