Hotel guest corridor with room doors

PMS and BMS integration: why connected guest rooms save more

An occupancy sensor knows one thing: whether something moved in the room recently. That’s useful, but it leaves money on the table. A room that’s unsold for three days looks exactly like a room whose guest stepped out for dinner.

Connecting your guestroom controls to your property management system (PMS) and building management system (BMS) fixes that. We can perform BMS and PMS integrations, and they’re two of the most valuable upgrades a hotel can make to its guestroom controls.

What PMS integration adds

Your PMS knows what the room can’t sense: whether it’s sold, unsold, checked in or checked out. When that status reaches the room:

  • Unsold rooms hold a deep setback for as long as they stay unsold.
  • Check-in brings the room out of setback and pre-conditions it, so the guest walks into comfort.
  • Checkout drops the room straight back to deep setback, without waiting for a motion timeout.

That turns occupancy-only control into rental-aware control.

What BMS integration adds

Your BMS runs the central plant and common areas. Guestroom demand drives a lot of what that plant does. When room status and alarms reach the BMS:

  • Engineering sees which floors and wings are occupied, next to plant data.
  • Schedules and setpoints can be coordinated between rooms and the plant.
  • Alarms for offline devices and problem rooms land in one place.

It’s about functionality and visibility as much as energy, and it supports better whole-building performance.

What it saves

Integrated guest rooms set back more often and more reliably. On average, properties see 20–35% lower guestroom HVAC energy use, with a typical payback of 12 to 18 months, often sooner with utility rebates.* PMS and BMS integration help a property land toward the upper end of that range.

What it takes

  1. Confirm the interfaces. We check which interface your PMS and BMS support during the free assessment.
  2. Write the interface spec. One integrator defines what passes in each direction: room status from the PMS, and room data and alarms to and from the BMS.
  3. Coordinate. We work with your PMS provider, BMS contractor and IT team.
  4. Commission every room. We test check-in, checkout and sold/unsold changes room by room, and verify every BMS point.

FAQ

Can you integrate with our BMS or PMS? Yes. We can perform BMS and PMS integrations. We confirm what your systems support during the free assessment.

Does PMS integration share guest personal data? The room controls need room status, not guest details. We coordinate the interface scope with your PMS provider and IT team.

Can we add integration to the system we already have? Often, yes, if your current guestroom controls support it. If not, we design an upgrade path that reuses what we can.

Is it worth it for a select-service hotel? Usually. Unsold-room setback through PMS integration is one of the simplest ways to add savings without adding devices to the room.
